Project Assistant Responsibilities

Basic Position Function:          

Provide construction administration support for CIC Project Managers

Project specific Responsibilities: Provide administrative support for CIC Project Managers including but not limited to:

Process/print project plans and specifications

Bid solicitations and required follow up

Provide estimating support to PM's

Project file set-up

Create project in system including contact, submittal, subcontract, change order, purchase order, and RFI logs.

Issuance of owner required insurance certificates

Assist PM in the application for, and securing of all required permits.

Issuance of Subcontracts/Purchase Orders 

Ensure all subcontracts and PO's are returned within 30 days

Collection & tracking of subcontractor insurance certificates

Implement and update project schedule.

Coordinate manpower scheduling/deliveries

Coordinate all required inspections with PM

Receive/cost code subcontractor/supplier pay request.  Forward to PM for approval

Lien Waiver tracking and collection

Organize and prepare pay request to client for PM approval

Organize and forward Project "Close Out" documentation

Back up to Payroll

General Administration

Support for the flooring company

Update Bid Calendar

Post incoming jobs

Additional Responsibilities:

Provide back up for Manpower Coordinator

Assist in the development and maintenance of the CIC marketing materials

Answer phones @ CIC and back up time @ main switchboard
