Front Desk Concierge

Summary: Operates myPortal multi-line telephone system to answer incoming calls and directs callers to appropriate personnel. Also greets all incoming traffic with an upbeat/enthusiastic demeanor.

Essential Duties and Responsibilities:

Answers incoming telephone calls, determines purpose of callers, and forwards calls to appropriate team members or department. Transfers calls to voice mail when appropriate personnel are unavailable.

Retrieves messages from voice mail and forwards to appropriate team members.

Answers questions about organization and provides callers with address, directions, and other information.

Welcomes on-site visitors, determines nature of business, and announces visitors to appropriate team member.

Responsible for outgoing mail, receives incoming mail, folds and stuffs checks for Accounting every Friday.

Maintains front desk fax machine, assists users, sends faxes, and retrieves and routes incoming faxes.

Orders, receives, and maintains office supplies, including FedEx, envelopes, letterhead, business cards, toners, and other office items.    Responsible for tracking for replenishment of office supply items.

Performs other clerical duties as needed, such as photocopying, collating, mailing checks and other correspondence.

Call courier service on deliveries as needed.

Set up and distribute timecards weekly to team members.

Distribute employment applications when requested.

Maintain company voicemail greetings.

Maintain Hedberg customer and vendor database including quarterly updates on vendor discounts, adding new customers, and running daily/weekly reports.

Assist with room reservation requests via the Room Wizard website. Assist with technology in reserved room if needed.

Update company phone lists including extension list and cell phone list as well as company email groups.

Maintain cafe supplies both upstairs and downstairs.  This includes stocking, monitoring, and ordering of supplies.

Research and book travel for Furniture team members.

Assist with planning of special events.

Track Junk Mail and delete person from mailing list.

Track Paper Usage for Green Team.

Order flowers or send donations for hospital stays, funerals, etc.

Assist in maintaining company email groups as well as the internal phone directory.

Make and distribute front desk coverage calendar.

Archive file list responsibility.

Start dishwashers daily.  Responsible for unloading the caf one daily. 

Sales by Subsidiary report.

Vending machine contact.

Integrated Lead Spreadsheet maintenance.

Credit card processor.

Other duties may be assigned.
