Client Care Coordinator

DESCRIPTION
As Client Care Coordinator at Color Art, you will have a great impact on our client experience and be involved in all aspects of our day-to-day operations. You will be the "right-hand" and the backup to the Client Care Manager. Awesome customer communication, high attention to detail and meticulous follow-up will ensure your success in this client-facing role. This is a highly-visible position that
greatly impacts both internal and external customers.


OBJECTIVES OF THIS ROLE
Assist with administrative, accounting and customer service functions
Ensure our clients are thrilled with their Color Art experience
Take ownership of how your role impacts the safety, quality and profitability of the Division and the Company


RESPONSIBILITIES
Assist with: Service / Warranty Requests; Generating/updating/converting quotes and creating/updating orders for
Installation/Moves, Upholstery, Service, Project Management, Intermarket and Artwork orders; Creating, updating and
receiving purchase orders; Processing vendor invoices and COIs; Daily scheduling and time reporting for Technicians; Daily
installation packets and service tickets; Expense Reports; Customer surveys
Assist with service, warranty and parts information
Help maintain established inventory levels of stock parts / products
Work closely with CCM to ensure all orders are invoiced quickly and accurately
Coordination with CCM, Manufacturers and Accounting on invoices, payments, contracts, COIs, timesheet reports, lien waivers, etc.
Coordinate Team outings, training and special events
Other administrative responsibilities as needed


SKILLS / QUALIFICATIONS
Proactive and professional communication
Highly collaborative and relationship-focused
Excellent organizational and time management skills
Critical-thinking and problem solving
Able to pivot quickly with shifting demands


EXPERIENCE
1-3 years' experience in a professional office or service environment (Preferred)
Experience with Furniture, Installation, Maintenance, Warranty Claims or other relevant industries (Preferred)
Proficient with Microsoft Word, Excel, PowerPoint, Outlook, Google Sheets
Experience with Hedberg Data Systems (Preferred)


EDUCATION
Post-Secondary Degree or Certificate or equivalent experience
