The Sales Assistant position is part of a team providing support for the sales staff.


Summary:  Compiles information and records to prepare purchase orders, provides support and back up to outside salespeople by serving as a customer service representative with customers, as an intermediary between sales and other internal departments and outside vendors by performing the following duties.


Essential Duties and Responsibilities include the following.  Other duties may be assigned. 


The Sales Assistant has primary responsibility for sale order follow up as directed by Account managers.


Quotation Duties:

  • Type sales quotations per specifications provided by the Account Manager, Design, Project Management, or an independent designer.
  • Verify that model numbers and finish numbers are consistent with each line item description provided with specifications.
  • Prepare quotation for order entry when directed by the Account Manager, customer, or per a customer purchase order.
  • Request and gather memo samples and fabrics.


Pricing Duties:

  • Contact factories to verify product information, such as delivery, price issues, COM requirements, specials, etc.
  • When a customer requests a price on a specific item number, quote the price per a specific contract or as instructed by the Account Managers.
  • Responsible for catalog supported pricing and special engineering quote pricing. Sales are responsible for non-cataloged items, and standard specials.
  • Request special engineering quotes from manufacturers.


Customer Relations Duties:

  • Answer customer service questions as they arise, and do appropriate follow-up.
  • Mail general correspondence such as prospecting letter, literature requests, etc.
  • Type a bid document based on information provided by the Account Manager.
  • Handles customer complaints.


Pre-scheduling Delivery Duties

  • Preschedule Color-Art deliveries and minor installations.
  • Print Local Delivery and Pick Up Tickets.


Order Entry Duties:

  • Convert orders
  • Print P.O.'s (All Vendors)
  • Make Sales File


Acknowledgement Duties:

  • Print Acknowledgements
  • Check vendor acknowledgements


Other Duties:

  • File Delivery Tickets and Invoices
  • Help Spec and order product
  • Help troubleshoot deliveries and installations
  • Schedule final delivery and installation
  • Follow up on missing product
  • Prepare Service Orders
  • Responsible for administering and finalizing the punch list
  • Verify delivery status of factory orders as directed by the customer or Account Manager




High school diploma or general education degree (GED); or one to three months related experience and/or training; or equivalent combination of education and experience.


Prior industry experience helpful.


The expectation is that the incumbent will obtain knowledge of company products, specifications and pricing through the company's in-house and outside product training.



Computer Skills:

To perform this job successfully, an individual should have knowledge of Word Processing software; Excel  spreadsheet software; Internet software and order processing systems.
